OnSiteCall

Welcome aboard.

One crew. Every phone.

Invite your techs, dispatcher and office manager, choose what each one sees, and see who’s where from one roster.

Who’s where, right now.

See who’s working, on the road or free. As the owner, open a teammate’s record to handle time off, check credentials, and keep their assigned equipment on file.

The OnSiteCall Team roster for Ellsworth HVAC: six on the team, three available now, two on a job and one invite not accepted yet. Cards show Jeremy Ellsworth available, Andre Wilson’s invite with five days left, Dana Whitfield on the road to Erik Lindqvist, and Marcus Reyes on a job at Luis Alvarez’s, each with their jobs for today.

Prices stay in the office.

Who sees what.

Every teammate gets a role: owner, manager, dispatcher or technician. Pick one to see what it opens up.

Switch any of the 17 permissions on or off for one person. An owner’s access can’t be limited.

Coffee first. Then clock in.

Clock in from the truck.

Your crew clocks in from the app. Check hours on your phone, then review the team’s timecards and estimated labor costs at your desk.

  1. They tap Clock in.

The app records the punch and shows their running time. Supported punches also save offline and sync later; load the current shift before going offline.

  2. Review before you export.

As the owner, correct missing punches, approve shifts, and export the team’s timecards as CSV from the web dashboard.

  3. See what those hours cost.

Add hourly rates or salary to see estimated labor costs, with your overtime and employer-cost settings.

Questions about your crew.

Inviting people, what each role can see, hours, and who’s where.

How do I add my crew?

From Team, choose Invite staff. Add their name, job title and work email, pick manager, dispatcher or technician, and generate an invite link. You send the link yourself. It works for 7 days, and they set a password to get in.

What can a technician see?

Their own jobs. Technicians only see jobs assigned to them, and they can mark jobs complete and accept payment on them. The rest starts switched off, and you can switch more on for one person.

Can techs see my prices?

Not unless you say so. “See prices in the field” and “Add items to a job” are off for technicians by default. Switch them on for anyone you want to have them.

Do techs clock in?

Yes. They clock in and out from their phone, including supported offline punches that sync later. Clocking out offline needs the current shift loaded on the device. You can check hours in the app. The business owner can also correct and approve shifts and export timecards from the web dashboard. The time clock is on by default and can be turned off for the business.

Can I see where my crew is?

Only when they choose to share it. Location sharing is opt-in and only works while their app is open, never in the background.

What does a dispatcher do?

Coordinates the schedule and assigns staff. Dispatchers can see every booking, assign and reschedule jobs, see customers and reply to texts. They don’t get pricing or reports.

Can the crew request time off?

Yes. Teammates submit dates and a note from the mobile app. The owner approves or declines the request in the web dashboard, and the teammate gets a notification. Already-booked jobs are flagged so you can reassign them.

What employee records can I keep?

The business owner can keep pay rates, private documents, emergency contacts, licenses and certifications, assigned equipment, and staff notes on each person’s record. You can also turn off a teammate’s app access when needed.

Does it calculate payroll?

It prepares timecards and labor-cost estimates using your pay rates, salary, overtime, and optional employer-cost settings. Export the records for your payroll process; OnSiteCall does not run payroll or calculate payroll taxes.
